About This Opportunity
The Program Assistant (PA) is a newly created role within our MENA Team. It is a key role responsible for the smooth operations and administration in the Tunisia office and wider MENA team. It will support the implementation of NRGI’s engagement in the region in general, and in Tunisia specifically.
The PA will provide logistical (including occasional travels), financial, and project management support to the Tunisia and MENA programs in order to contribute to increased transparency, accountability and effectiveness of the extractive industries governance. The postholder will also work closely with colleagues from the international support services teams in London and New York.
It is an exciting time to join our MENA team as they continue to grow their portfolio in the region (Morocco for example). This is a unique opportunity for someone with solid administrative and financial skills to gain exposure to the work of an international organisations and contribute to its work both at the local and global levels.
Key responsibilities:
You will provide overall support to the Tunisia office and team (currently 3 staff), and support the wider operations in the MENA region. This includes day-to-day administrative and coordination tasks, as well as an important financial component to support the team in donor reporting and budget monitoring. You can also expect to provide support to the organisation of a range of events and workshops with various stakeholders (partner organisations, civil society organisations, donors, etc.).
You will:
- Support the programmatic work in the MENA region; including ensuring deadlines are met, budgets adhered to and keeping the project management tools up to date.
- Provide logistical and quality administrative support to the Tunisia office and MENA Director in Beirut; including preparing and compiling financial information and expense reports, drafting outgoing correspondence, minutes taking and drafting reports.
- Managing and maintaining MENA contracting and internal financial procedures and reporting requirements, including through liaising with the NRGI finance, legal teams, and HR.
- Support the MENA team in managing events and the logistics; liaising with key stakeholders as appropriate and acting as focal point for participants.
- Assist with grant management and fundraising; including follow-up with grantees, drafting proposals and support donor reporting.
- Be the point of contact for key services (procurement, local contracts, service providers, etc.).
- Act as the main point of contact for the Tunisia Office (building, lease, etc.).
This role might be for you if …
- You have previously worked for not-for-profits/non-governmental organisations (NGOs).
- You have a sound understanding of the Tunisia and wider MENA contexts; familiarity with the oil and gas/extractives sector would be advantageous.
- You have strong administrative and financial skills, particularly in relation to managing day-to-day operations and support grants management/fundraising efforts.
- You communicate effectively and can draft a range of written documents (correspondence, social media contents, etc.).
- You may have some events management experience (roundtables, workshops, etc.) and be familiar with the logistics involved.
- You may have some relationships management experience (donors, partners, internal stakeholders, etc.).
- You’re a team player and efficiently deliver on multiple time-bound tasks.
Job Requirements
- Solid previous work experience in a similar administrative role, ideally gained within a non-governmental or international development organization.
- Knowledge of Tunisian labour and finance laws and regulations
- Proven, strong organizational skills, including the ability to work independently, prioritize and proactively respond to evolving/unfolding demands.
- Some experience working with key stakeholders in the region (civil society, private sector, government).
- Professional discretion;
- Proficiency in Microsoft packages; word, excel and PowerPoint.
- Strong interpersonal skills and ability to engage with staff at various levels of seniority.
- Excellent skills in written and spoken English (the main language at NRGI being English). Arabic and/or French language skills will be highly valued too.
Education & Qualifications
- Bachelors level degree is preferred.
