Description:
The Customer service specialist, whose job is focused on customer relations, is the first person with whom customers deal. Therefore, she/he is responsible for receiving clients, providing them with all the necessary information about the English programmes offered by INTO ACADEMY, coordinating placement tests, managing client registrations and directing them to the most appropriate programmes according to their linguistic and professional needs.
She/he manages the follow-up of a portfolio of clients from the moment the contract is signed, or the sale is made. The customers may be private individuals or professionals. The customer service specialist works closely with the various departments within the company, namely: management, marketing and communication. In collaboration with the head of the department, the job holder will also be responsible for prospecting companies to generate training contracts for companies and employees, as well as monitoring contracts and courses given to companies.
She/he will support the Head of the Department in ensuring the quality of service delivery, leading to the development of the said English department, while creating a positive reputation for English language teaching within Into Academy.
In collaboration with the Head of Marketing, the position also includes creating marketing content and coordinating marketing events.
Main responsibilities:
- Receiving potential clients for the academy in Tunis.
- Handle telephone and e-mail enquiries in a professional and friendly manner.
- To provide clear and detailed information on the English language programmes offered by INTOACADEMY, including language proficiency levels, programme requirements and costs.
- Advising clients on appropriate courses according to their needs and language proficiency levels.
- Manage customer registrations and payments.
- The distribution of classes and the organisation of lessons.
- The assignment of teachers in collaboration with the head of the department.
- Handling complaints and making recommendations to the Head of Department and teachers in order to improve the quality of the courses and services offered.
- Analyse customer feedback and provide strategic direction to continuously improve the overall score.
- Maintaining client records accurately and confidentially, using appropriate computer systems and following INTOACADEMY policies and procedures.
- Work closely with teachers and other staff to ensure that clients have a quality and user-friendly training experience.
- Plan and coordinate tours for potential clients to introduce them to the facilities and programs offered by INTOACEDEMY.
- Actively participate in team meetings to discuss activities, needs and possible improvements to enhance the customer experience.
In collaboration with the Head of Department:
- Prospecting companies for the English courses offered by INTOACEDEMY.
- Negotiate partnership conditions with interested companies.
- Coordinate and plan English language training programmes for employees of partner companies.
- Build and maintain strong relationships with partner companies to ensure their satisfaction and loyalty.
- Perform other related administrative tasks as required.
In collaboration with the Head of Marketing:
- Research themes related to the sector (combining online sources, interviews and studies).
- Produce different types of content: blog articles, social media posts, and product descriptions for the website.
- Write clear marketing copy to promote our services: newsletter, leaflets and other communication materials.
- Planning and organisation of events (JPO, poster campaign, reception of company representatives, etc.).
- Collaboration on the production of learners’ testimonials.
Education and experience required:
- University degree in English language and literature and/or marketing.
- Previous work experience in customer service, sales, administration and business development.
- Strong knowledge of digital marketing and content writing.
- Excellent verbal and written communication skills in French.
- Fluency in written and spoken English.
- Relational: knowing how to listen, reformulate, and discover the needs or expectations of customers.
- Mobilise the other departments of the company that are involved in the satisfaction of the final customer.
- Knowledge of English language programmes and examinations as well as the different levels of language competence according to the CEFR.
- Ability to work independently and to manage several tasks at the same time.
- Good organisation and ability to manage client files effectively.
- Excellent prospecting, negotiation and customer relationship management skills.
- Good computer skills, including knowledge of word processing and spreadsheet software.
